About the Position

We are looking for an experienced Administrative Manager to help accelerate Climate Vaults’ growth and efficacy. This person will be responsible for working with the management of Climate Vault and helping them use their time most efficiently. This entails a wide range of activities - from coordination to taking responsibility for small discrete projects and seeing them through from inception to results. As this person will have trusted access to many aspects of the organization, they will have experience upholding confidentiality and exercising discretion in handling sensitive matters.

We are seeking an energetic and passionate individual with high integrity who can pick up tasks and see them through. They are solution orientated, can take responsibility, and present their opinion of the best option in a variety of situations. They understand that their work directly contributes to the success of Climate Vault as a whole.

In this position, you must be both detail-oriented and see the big picture beyond what is immediately in front of you. Anticipating the next step and helping that come to fruition energizes you. Your responsibilities include managing the schedule of several members of the management team, working with those team members on specific projects, and being a reliable resource that can be handed tasks that you will carry to completion. All of these tasks will be carried out with an appropriate level of discretion and confidentiality.

The ideal candidate for this position has more than seven years of experience under their belt and knows how to effectively support managers as they work to complete their objectives. They are also open and interested in Climate Vault’s mission: to slow and stop climate change. This adaptability and willingness to learn will be essential to you and you take on progressively more responsibility in the organization. What You’ll Do

  • Provide administrative assistance and coordination for between two and seven managers, working across multiple time zones and countries.
  • Organize meetings, including setting agendas, scheduling, sending reminders, and organizing supporting services when necessary
  • Managing the manager’s calendars, including making appointments and prioritizing the most sensitive matters
  • Draft presentations - both from templates as well as original works - including reporting out on key issues and KPIs
  • Assist with ensuring key legal documents, such as contracts and donor agreements, are labeled, and stored appropriately
  • Take on small to medium sized projects from time to time - these may be related to any aspect of Climate Vault’s activities
  • Help arrange travel and complete expense reports

About You

  • Seven plus years of experience as an executive assistant with a demonstrated ability to ensure tasks are completed
  • Experience working with high-growth and high-intensity organizations is a plus
  • You have a high level of integrity and discretion
  • Able to handle highly confidential and sensitive materials and situations
  • Demonstrated judgment and problem-solving skills; you have a creative, solutions-based mindset
  • You have a clear and professional communication style - you are comfortable and adept to work with individuals in all levels of corporations and higher education settings
  • Ability to flex your style and build trust and rapport with managers and leaders
  • Proven prioritization and organizational skills, attention to detail, ability to handle multiple tasks
  • Ability to work through ambiguity, think creatively, and roll up your sleeves
  • Excellent written and verbal communication skills
